# Welsh Mountain Sheep Registry Information Registry is very early software. Basic functions work, but there isn't much in the way of extras. We are adding features and backend improvements all the time. As we move forward, you will see more validation when you enter data to prevent errors. We also want to provide ways for you to download and print the result of searches and pedigree data on sheep. The sections below lay out specific information about each screen. ## Welcome The welcome screen greets you on startup. Enter your full membership number and password to gain access to the [[AnimalTrakker® Registry Web Overview|registry]]. ## My Flock **My Flock** is a simple list of the alive animals you own in the [[AnimalTrakker® Registry Desktop Overview|registry database]]. ### Known Issues **Missing animals** can happen for several reasons. 1. **Registered animal is missing an official federal ear tag.** *Solution:* email [email protected] with the full registered name, registration number, birth date, State or Tribal Scrapie flock ID number, individual animal ID number (with color and ear location), or the full 840 or 124 tag number (with color and ear location), and it will be added to the records. 2. **Dead animal is now shown as alive.** *Solution:* deaths were often improperly recorded without a death date or reason in our previous software package. Please go into [[Welsh Mountain Sheep Registry Information#Deaths|Deaths]] and redo the death notices. ## Births **Stillborn and Unregistered Animals:** Please include all births for a given gestation, even for animals that you will not [[Welsh Mountain Sheep Registry Information#Registrations|register]] or that were stillborn. These are important data points for calculating the overall lambing rates for the breed. **Notes:** [[AnimalTrakker® Farm Mobile Overview#AnimalTrakker® Farm Mobile Notes vs Alerts|Notes]] entered in the first screen are for the birth itself. You can add individual animal notes later. **Lamb Births:** At least one tag is required for every live notified birth. The tag can be an official tag or a farm tag. Stillborn lambs just need the Stillborn box checked and sex (if known) added. Unknown sex is valid for stillborn lambs. You can optionally add birth weight or coat color. If an ewe has died during birth, please add all her lambs first, then document her death in the deaths screen. **Dam Ownership:** The breeder is the owner of the dam at the time of mating and cannot be changed. The owner of the dam at time of birth will own the offspring.  **Ram Ownership:** If you did not own the ram or the ram has since died, please send the details to [email protected]. At this time, we do not support dead or leased sires. Leased males as sires and AI sires all need a letter on file stating permission for the lease for live cover and verification of ownership of semen for AI. **Embryo Transfers:** Embryo transfers require parentage verification of the genetic sire and dam and the surrogate dam to ensure pedigree accuracy. The breeder of an embryo is the owner of the dam at the time of collection. If the embryos are sold before being implanted, the owner of the surrogate dam at birth is the owner of the new animal. **Dead Sires and Dams:** The options for sires and dams are the live registered males and females you own. Contact the registrar for how to handle dead animals as sires or embryo donors. If the ewe has died during birth, please add all her lambs first, then document the death in the deaths screen. **Adding Tags:** At least one tag is required for every live lamb that is birth notified. The tag can be an official tag or a farm tag. If your official Federal Scrapie flock ID is on file with your membership, you do not need to add it when adding a Federal tag. It will be included automatically. Only US members may use Scrapie flock IDs as their official tag. **EID Tags:** If you are using EID tags as the official tag, the type of tag is Electronic with the Official checkbox clicked. **Federal Electronic Tags:** Federal Electronic tags must be in the format country code_tag number, i.e. 840_000123456789 or 124_000123456789. **Optional Information:** You can add birth weight and change coat color as necessary. All data will be transmitted to the registrar for verification and inclusion in the registry database. ## Registrations **Breeder:** For the [[AnimalTrakker® Registry Web Overview#American Black, Chocolate and White Welsh Mountain Sheep Associations|American Welsh Mountain Sheep registries]], the breeder is defined as the owner of the ewe at the time of mating. The breeder is the one who can choose to register offspring. If pregnant animals are sold, please provide a letter from the breeder stating that the resulting offspring can or cannot be registered, with the sire information. Alternatively, fill out the form on the back of the registration certificate and email a copy to the registrar. The registrar must manually change these metrics. **Animals to Register:** The list of animals to register is the list of your [[Welsh Mountain Sheep Registry Information#Births|Birth Notified]] animals. **Changing Names:** You may change the name of an animal at registration, but once registered, the name cannot be changed. **Corrections to Sex, Birth Type, and Color:** You may correct the sex, birth type, and color between birth notification and registration. **Official Tag Required** All sheep to be registered must already have a valid official ID tag entered into the system. ## Deaths **Deaths:** All deaths must have a death date and a reason for death. Unknown is a valid reason. **Notes:** Any notes you add will be entered as a note for that specific animal. You may add things like the type of predator, illness, or type of injury that resulted in the death. Notes are optional. ## Transfers Animals have 2 types of transfers: **Ownership** and **Location**. The list of animals you can transfer ownership of is the list of registered alive animals you currently own. We only transfer registered animals because only the breeder can choose whether or not to register an animal. 1. Select all of the animals you want to transfer to the same owner. If you want to transfer animals to multiple owners, you'll have to conduct separate transfers for each new owner. 2. Scroll down to select from among the current active members of the Association. If the current buyer is not in this list, just leave the selection blank. You can enter the new buyer's information on the next screen. 3. Select **Next**. You'll see the list of animals you've selected on the next screen, as well as the buyer (or fields to enter information about the new buyer). 4. Enter in both the ownership change date and the date the animals moved/will move to their new farm. 5. Select **Submit**. If you're transferring an animal to a person who is not yet in the system, you'll be asked to enter their contact information. Please enter the following data: - First Name - Last Name - Address, City, State, and Zip - At least 1 phone number Phone numbers must be formatted as 123-456-7890 with no spaces or characters other than numbers and dashes. If there is a separate mailing address, enter that as well. We like to have an email so you can receive notices and information from our breed Secretary. ### Ownership History - Animals go from nothing to the first owner at birth. - As animals are sold, a transfer record will be created showing each subsequent owner. - The last owner is the one who retains possession when the animal dies. ### Location History - Animals go from a physical location of nothing to the physical location where they are born. Their first location is the same as the dam or the surrogate dam at date of birth. - As animals move, their locations are updated with location change records. - When animals die, their location goes from the last location back to nothing. ## ID Updates Animals lose tags all the time. This fact is often not tracked well in flock management programs. [[Start Here|AnimalTrakker®]] tracks the chain of identification used on an animal over time to aid in disease traceback and [[AnimalTrakker® Farm Desktop Overview#AnimalTrakker® Farm Desktop Registry Package|registry]] record-keeping. **Scrapie ID:** If your official Federal Scrapie flock ID is on file with your membership, you do not need to add it when adding a Federal tag. It will be included automatically. Please include all leading zeros in the individual sheep number. **EID Tags:** If you are using EID tags as the official tag, the type of tag is Electronic with the Official checkbox clicked. Note: All official Canadian ear tags provided in 2013 and after are yellow EID tags. ## Animal Search You can limit your search using the listed options. The Animal Search function can export a maximum of 500 results. Please adjust your search if the results exceed that number in order to see the full list. ## Member Search Select the criteria you want to search based on the listed options. Currently, Member Search is limited to current, active members of the Associations. ## Change Contact Information If you have more than one premise ID, you will have multiple addresses here. 1. Select the premise ID to change. 2. Click **Next**. 3. Enter in your corrections. 4. Select **Submit**. All data will be transmitted to the registrar for verification and inclusion in the registry database. ## Mark at Stud The **Mark at Stud** screen is the place for you to list all flock members that are standing at stud. We will be implementing ways to use this data to allow selection of leased sires in the future. %%[[Mark Animals for Sale]]%%
